Office Coordinator - Hong Kong

We're now looking for a team spirited, pro-active and energetic Office Manager for our growing office, currently of 30 people, in Sheung Wan.

WHAT YOU WILL DO

GENERAL ADMIN

  • Based at the reception area, great guests and give them a warm DW welcome with refreshments, handle general receptionist & daily administrative duties
  • Responsible for general office support and keeping the office well organized and tidy (we have cleaners coming every day, i.e. no deep cleaning needed, only every day things to keep the office tidy and running well)
  • Maintain proper records, supplier list, reports, office policies and filing
  • Travel arrangement, manage the itinerary and agenda for the Director, Colleagues and Guests
  • Office procurement (stationary, equipment etc)
  • Business expenses management
  • Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
  • Follow up and problem solving for purchase orders with vendors such as delivery, quantities and price variation if required
  • Observe the facilities, environmental, health &safety policy and regulations.
  • Arrange Monday morning breakfasts and Friday afternoon treats delivery
  • Perform ad hoc duties as assigned

 

FINANCE

  • Management of petty cash]Dealing with invoices from suppliers
  • Take a proactive role in employee engagement and communications, utilising internal intranet and tools to share info with the global team
  • Organise original and fun activities to promote team spirit in the office
  • Assisting HR Manager with any requested tasks
  • Handling IT set up and office induction for new starters

HR

  • Take a proactive role in employee engagement and communications, utilising internal intranet and tools to share info with the global team
  • Organise original and fun activities to promote team spirit in the office, such as summer party, Christmas party and management meetings
  • Assisting HR Manager with any requested tasks
  • Handling IT set up and office induction for new starters

Hours: Monday 08:30-17:30, Tuesday-Friday 09:00-18:00

WHAT YOU KNOW

  • At least 2-3 years relevant working experience handling administrative issues or working in a Guest Services role
  • Pleasant, responsible, accurate at figures, detailed-minded, hardworking & self-initiated
  • Fun, outgoing and imaginative
  • Good command of written and spoken English, Cantonese and Mandarin.
  • Flexible and ability to work under pressure and independently
  • Good organization, communication and interpersonal skills
  • Proficiency in MS Excel, Word and Outlook
  • We are looking for someone who can stay in the position for at least 2 years, i.e. not someone who has the mind-set to change after a short time period, we want stability in this position
